​​Duties and Responsibilities

 

Preside Over Meetings and Events

  • Lead all Executive Board (E-Board) meetings, General Business Meetings (GBMs), and chapter-hosted events.

  • Ensure all gatherings are organized, purposeful, and inclusive.

Lead Executive Board Meetings

  • Hold regular E-Board meetings at least once a month and prior to each GBM.

  • Prepare an agenda ahead of time outlining key discussion points and decisions.

    •  Preferably use Robert’s Rules of Order Sequence:

                     i. Call to Order

                     ii. Roll Call (if required)

                    iii. Reading and Approval of Minutes 

                    iv. Reports of Officers, Boards, and Standing Committees 

                     v. Reports of Special (Ad Hoc) Committees

                    vi. Special Orders

                   vii. Unfinished Business and General Orders

                  viii. New Business

                    ix. Announcements

                     x. Adjournment

  • Use E-Board meetings to plan and finalize GBM content and logistics.

  • Promote transparency and collaboration within your board.

Lead General Business Meetings (GBMs)

  •  Develop a structured agenda or outline to guide the meeting.

    •  Preferably use Robert’s Rules of Order Sequence (listed above)​​

  •  Plan meaningful activities, events, or invite guest speakers (see Meeting Suggestions).

  •  Communicate updates related to finance, events, and initiatives.

  •  Solicit feedback, questions, and ideas from members to maintain transparency and trust.

Practice Effective Delegation

  • Recognize that delegation is a critical leadership skill.

  • Assign tasks based on each team member’s strengths.

    •  Example: Let the Treasurer lead fundraising efforts, while the Secretary manages social media.

  • Build trust by being honest about your own learning curve with delegation.

  • Share responsibilities to avoid burnout and increase team engagement.

Supervise Chapter Affairs

  • Take full responsibility for chapter operations; “The buck stops with you.”

  • Monitor the progress of all chapter projects to ensure high-quality outcomes.

  • Take accountability when needed and give credit to others whenever possible.

Promote Accountability

  • Foster a culture of mutual accountability among members.

  • Encourage open communication about goals and responsibilities.

  • If an E-Board member is not meeting expectations:

                   1. Address the issue privately and professionally.

                   2. Involve the faculty advisor if necessary.

                   3. Take corrective action in a respectful and constructive manner.

Communicate with the Faculty Advisor

  • Act as the primary liaison between the chapter and the faculty advisor.

  • Maintain a consistent, professional, and productive relationship.

  • Seek the advisor’s guidance; they are a valuable resource for chapter success.

Represent the Chapter on Campus

  • Serve as the official spokesperson for the chapter in all university communications.

  • Build partnerships with other campus organizations to promote music education.

  • Be a visible, proactive advocate for the chapter’s mission and goals.

Train the President-Elect

  • Prepare your successor to lead effectively.

  • Include them in presidential duties such as:

                     1. Attending meetings

                     2. Participating in correspondence

                     3. Assisting with event planning

                     4. Copy them on all relevant email threads and decisions to provide full context.

                     5. Empower them through mentorship and hands-on experience.

Encourage the Chapter to be Engaged Statewide and Nationally​​

  • Work with your advisor to find ways for the chapter to experience statewide and national events.

    • This is a great means for networking, professional development, and leadership opportunities.
